1. Who is responsible for your data
- Our own customers, website visitors and partners: TEKYVA Business Solutions decides how this data is used and is the Data Fiduciary.
- People who contact a business that uses TEKYVA (for example you filled a form on a coaching institute’s page, registered for its webinar, booked a slot or joined its course): that business is the Data Fiduciary and decides how your data is used. TEKYVA stores and processes it for them as a Data Processor. Please contact that business first about your data; we will help them respond.
2. What we collect
| Where | Data |
|---|---|
| Account and team | Name, email, phone (optional), profile photo (optional), password stored only as a one-way hash, two-factor settings, role, sign-in times, IP address and device/browser details for security. |
| Billing | Business name, address, state, GSTIN (if given), plan, invoices and payment status. Card, UPI and bank details are handled by Razorpay; we receive only a payment reference. |
| Contact and demo forms on our website | Name, email, phone, company, your message, and the page and campaign tags (UTM) you came from. |
| Data our customers store (as processor) | Leads and contacts, form answers, notes, follow-ups, bookings, webinar registrations and attendance, course enrolments and progress, community posts, applications and uploaded files. |
| Partners and marketplace sellers | Contact details, business details and payout details (bank account / UPI) for paying commission or earnings. |
| AI tools | Questions you ask AI Brain and the brief you give AI Ad Writer, and usage counts for plan limits. |
| Technical | Essential cookies to keep you signed in and protect forms, and basic server logs (IP address, time, page) for security and troubleshooting. |
3. Why we use it
- To create and run your account and provide the services you signed up for.
- To process payments, issue GST invoices and keep accounting records.
- To reply to enquiries, give demos and provide support (including screen-share support you request).
- To send service messages: sign-in codes, password resets, invitations, receipts, renewal reminders and important changes.
- To keep the platform secure, prevent fraud and misuse, and fix problems.
- To understand which features are used so we can improve them (using aggregated data).
- To send product news or offers only if you agree; you can unsubscribe at any time.
- To meet legal obligations, for example tax and law-enforcement requests made under law.
4. Consent and legal basis
We process personal data with your consent (for example when you submit a form or sign up) or for legitimate uses allowed by the DPDP Act, such as providing a service you asked for or meeting a legal obligation. You can withdraw consent at any time by writing to admin@tekyva.in; this doesn’t affect processing already done, and some services may stop working without the data they need.
6. Data outside India
Some providers (for example the AI provider) may process data outside India. We transfer data only to countries not restricted by the Government of India under the DPDP Act, and with safeguards in our contracts.
7. How long we keep it
- Account and Customer Data: while the workspace is active, and up to 90 days after it is closed (so it can be restored or exported), then deleted from live systems; backups roll off within a further 30 days.
- Invoices and payment records: 8 years, as required by tax laws.
- Security logs: up to 1 year.
- Website enquiries: up to 2 years after our last contact, unless you become a customer.
8. How we protect it
Encrypted connections (HTTPS), passwords stored only as strong one-way hashes, optional two-factor sign-in, strict separation of each workspace’s data at the database level, role-based access for staff, encrypted secrets, regular backups and audit logs. No system is perfectly secure; if a personal data breach happens we will inform affected users and the Data Protection Board of India as the law requires.
9. Your rights
You can ask us to:
- Tell you what personal data we hold about you and how it is used, and who it has been shared with.
- Correct, complete or update it.
- Erase it when it is no longer needed (unless the law requires us to keep it).
- Nominate another person to exercise your rights if you die or become unable to.
Write to admin@tekyva.in. We will reply within 30 days. For data a business collected through TEKYVA, please write to that business first.
10. Children
TEKYVA accounts are for adults (18+). Businesses using TEKYVA to collect data about children (for example student enquiries) must get verifiable consent from a parent or guardian as the DPDP Act requires, and must not use it for tracking or targeted advertising directed at children.
12. Grievance Officer
For any complaint or question about your data, contact our Grievance Officer, TEKYVA Business Solutions at admin@tekyva.in with “Privacy” in the subject. We acknowledge within 48 hours and aim to resolve within 30 days. If you’re not satisfied, you may approach the Data Protection Board of India. See also our terms of service.
13. Changes to this policy
We will post any changes here with a new date, and tell account owners about important changes by email or in the app.
